National Employee Emergency Hotline Enhancements

Recent events have shown that additional measures should be put into place to provide assistance to Areas or Districts to ensure employees are safe and accounted for in emergency situations. To assist in these unique situations, there have been enhancements to the Toll-Free National Employee Emergency Hotline System.

In specific situations, such as an Active Shooter or extreme weather event, the Human Resources (HR) Manager or designee will instruct employees to call the Toll-Free hotline number: 888-EMERGNC (888-363-7462), listen to the message, then press “5”. The employee will be connected to a U.S. Postal Service® Call Center agent who allows them to report their status.

Procedures for Employees

The following are specific situations when the enhancement feature would be activated and includes procedures employees should follow:

 

If the emergency situation is…

Then…

Extreme Weather Event (e.g., Tornado, Earthquake)

1. Call the Toll-Free hotline number to check on opening status of a facility by entering the first 3 digits of the office ZIP™ Code, and confirm by entering “1”. HQ employees use ZIP Code “000”.

2. Enter “5” after listening to the recorded message and the employee will be connected to an agent.

3. Inform agent of the employee’s safe status and provide requested contact information.

4. Call back to the hotline periodically to check for updates.

Anticipated weather events:

If serious weather is predicted, the call centers will be alerted and staffed in advance to receive calls. Area Vice Presidents and District Managers in consultation with Headquarters Operations, Chief Human Resources Officer, and National Preparedness Office determine whether to alert call centers in advance.

An Active Shooter

1. Leave the building (if possible).

2. Do not go to Rally Points (find a safe place).

3. Once safe, call the Employee Emergency Hotline number to provide accountability of your safety. To do this, enter the first 3 digits of the office ZIP Code, and confirm by entering “1”. HQ employees use ZIP Code “000”.

4. Once the recorded message starts, you may enter “5” at any time to be connected to an agent.

5. Inform agent of the employee’s safe status.

6. Call back to the hotline periodically to check for updates.

As this information is gathered by HRSSC and/or the Eagan IT Corporate Help Desk, it will be given to the Area and/or District HR Manager.
