Renewal Instructions for eBuy2 Purchases of 5-Gallon Bottled Drinking Water Services from Nestle and DS Waters — FY 2019

eBuy2 purchases of 5-gallon bottled drinking water services (BDWS) from Nestle and DS Waters have been extended at the current eBuy2 price to complete the new BDWS contract award and eBuy2 onboarding:

n DS Waters — 60 days ending November 30, 2018.

n Nestle — 90 days ending December 30, 2018.

The Postal Service™ will publish instructions for new contract supplier(s) to continue 5-gallon BDWS for the remaining fiscal year (FY) 2019 by the second week of November 2018.

All sites purchasing 5-gallon BDWS from Nestle (marketed as Arrowhead, Calistoga, Deer Park, Ice Mountain, Ozarka, Poland Spring, or Zephyrhills) or from DS Waters (marketed as Alhambra, Belmont, Crystal Springs, Hinckley Springs, Kentwood Springs, Sierra Springs, or Sparkletts) are required to reorder “on-catalog” via eBuy2, and must process their requisitions based on the above contract end dates for FY 2019.

All requisitions must be processed and approved before October 15, 2018, to avoid a lapse in service. The Postal Service requires requisitions to be processed during this period because the supplier needs to have your FY 2019 on-catalog requisition in the eBuy2 system to invoice your FEDSTRIP.

Note: Some sites cannot receive service directly from Nestle or DS Waters. These sites are authorized to purchase “off-catalog” as long as Nestle or DS Waters have stated that they will not provide service to those specific locations.

Locations wishing to renew bottled water service for FY 2019 must note the following to ensure uninterrupted service:

n When submitting orders on eBuy2, estimate how much product your office will need for the duration based on the contract end date for each supplier.

n All orders must match the Area for which they belong; eBuy2 orders with items for mixed Areas will be cancelled.

n Customers must enter cooler and dispenser rentals for the duration based on the contract end date for each supplier.

n Customers ordering cups must estimate and request enough for the duration based on the contract end date for each supplier.

n For DS Waters customers only — for every bottle of water ordered, there must be an equal bottle deposit quantity ordered.
