Information Technology and Supply Management recently issued a joint Memorandum of Policy (MOP SM–05-25-2018, Electronic Equipment Disposal Process) to ensure that electronic equipment assets are properly disposed of when removed from service. This policy applies to all electronic equipment across the organization — not just the equipment managed by Information Technology.
MOP SM-05-25-2018 describes the following procedure to dispose of electronic equipment:
n Step 1: Log the disposal of electronic assets into the “e969” application to generate the asset disposal form and identify the assets being shipped.
n Step 2: Use the “eDispose” application to print the necessary placards for shipment to the Topeka Material Distribution Center (MDC).
As an additional safeguard for any data that may be stored on desktop computers, laptop computers, and servers, the policy requires that hard drives are wiped before shipment to the Topeka MDC. This reduces the risk of unauthorized access to data while in transit.
